Live events are high-pressure. You can't edit out a mistake in real-time.
To save you from the anxiety of "Did I forget something?", we created the ultimate pre-flight checklist for webinar hosts.
1 Week Before
- Slide Deck Finalized: No more "TBD" slides.
- Guest Speakers Confirmed: Send them a calendar invite with the join link.
- Promotion Push: Pin the event on your social profiles.
- Directory Listing: Ensure you are listed on TapJoin for last-minute organic traffic.
24 Hours Before
- The "No-Show" Email: Schedule the reminder email for 1 hour before the event.
- Workbook Sent: If you have handouts, send them now.
- Internet Backup: Do you have a mobile hotspot ready if your WiFi dies?
60 Minutes Before
- Reboot Computer: Clear the RAM. Close 50 open Chrome tabs.
- Notifications OFF: Turn off "Do Not Disturb" on Mac/Windows. Quit Slack and WhatsApp.
- Lighting Check: No weird shadows on your face. Face the window if possible.
- Audio Check: Record 10 seconds of yourself and listen back. Is there echo?
10 Minutes Before
- Open the Room: Start the session early so early birds aren't staring at a "Waiting for Host" screen.
- Slides Loaded: Have the "Welcome" slide visible on screen share.
- Water Nearby: You will talk for 60 minutes. You will get thirsty.
DURING the Event
- HIT RECORD: Put a sticky note on your screen if you have to. This is the #1 mistake.
- Engage Immediately: "Type where you are joining from in the chat!"
- The Offer: Drop the link to your product/offer in the chat at the 45-minute mark.
AFTER the Event (The Follow-Up)
- Download Recording: Save it locally immediately.
- Send Replay Email: Within 4 hours. "In case you missed it..."
- Check Analytics: How many people clicked the offer link?
- Evergreen It: Embed the video on a blog post or landing page for long-term SEO.
